JOB DESCRIPTION
The Finance and Portfolio Administrator position provides an opportunity to work with two dynamic teams within a growing real estate investment management firm, New Boston Fund. The individual will perform tasks specific to each group as well as some that overlap. The position provides an opportunity to assist the groups in managing their critical external and internal relationships, while also coordinating their active schedules.
The Finance Group at New Boston Fund consists of a three-person team that works closely together to finance the acquisition and development of commercial real estate properties. This team must handle the requirements of fast-moving transactions, building and maintaining lending relationships, and internal and external reporting.
The Portfolio Group is a four-person team that synthesizes information from all areas of the firm to develop and make recommendations for short-term and long-term real estate strategy for the funds under management. The Group is also responsible for critical, high-level communication to the Board of Directors and investors.
RESPONSIBILITIES
FINANCE & PORTFOLIO (JOINTLY)
To provide administrative support, including correspondence, filing, scheduling, maintaining a contact database and organizing meeting and travel arrangements.
To prepare monthly American Express expense reports.
To provide backup switchboard coverage.
To provide backup to other administrative assistants as needed.
FINANCE
To assist in creating high-quality, client-oriented print and Power Point presentations, including bank and investor/client materials.
To assist with coordination of group meetings and events, including finance meetings and maintain and distribute meeting minutes.
Manage several key areas of internal monitoring and reporting, including a database of property debt summaries, loan compliance reporting, interest rate contracts, and pending loan maturities.
To assist with the preparation of comprehensive loan request packages, in both print and electronic (PDF) media.
To maintain highly accurate filing system of Investment Committee materials.
Process and monitor wire/invoice payments and property requisitions.
PORTFOLIO
To assist in the preparation and distribution of packages for monthly portfolio meetings.
To ensure timely collection of reports from other departments and assemble semi-annual portfolio report.
To assist analysts, using Excel and Cougar software, in the preparation and issuance of various reports, including:
Quarterly Fund Issues/Priorities
Annual Budget package and quarterly Fund Forecasts/Reforecasts
To assist in creating high-quality, client-oriented print and Power Point presentations, including Board of Directors and investor meetings.
To assist in annual internal valuation process, including management of filing system and data collection/entry.
Timely posting of Portfolio reports to internal portal.
QUALIFICATIONS
In general, the candidate must be self-motivated and capable of meeting daily multi-task goals in an active environment that is often subject to changing priorities.
Written and oral communication skills, and the ability to design and complete high-level presentations and correspondence timely and accurately are essential.
Interaction with internal and external partners will be constant, and the candidate must have strong interpersonal skills.
Proficient in Excel, Word, Powerpoint, and electronic database software
Web design/Sharepoint experience helpful
Bachelors degree preferred
Business Administration and analytical background a strong plus
